Student Activity Fee Projector

🎯 Overview

The Student Activity Fee Projector helps Hillside School administrators plan and project per-student activity fees across school years. The fee covers two categories: Classroom Supplies and Student Activities.

All data is shared in real time — when one user makes a change, every other logged-in user sees it immediately.

📊 The 3-Year Window

The app always shows three fiscal years side by side:

• Previous Year — historical reference data (editable)
• Current Year — the baseline year driving projections (editable)
• Projected Year — auto-calculated from the current year, shown in gold italic

Use the ← Earlier and Later → buttons to slide the window forward or back. When you move forward, last year's "Projected" becomes the new "Current" — you can edit those values, then see the next year's projection.

🧮 How Projections Are Calculated

Projections use a per-capita model that separates cost inflation from enrollment growth:

This approach ensures that growing enrollment and rising costs are modeled independently rather than conflated.

✏️ Editing Values

• Dollar amounts — Click any dollar figure to type a new value. Press Enter or click away to save.
• Enrollment numbers — Click any enrollment number in the top panel to change it.
• Category names — Click a category name to rename it. The name updates across all years.
• Inflation rate — Change the percentage in the Inflation panel and click away. All projections recalculate.
• Projected values — Click any gold italic number to override it with a manual amount. Overridden cells show the auto-calculated value below and a ↺ button to reset.

➕ Adding & Removing Categories

Click + Add Category in any section header to create a new expense line. New categories start at $0 for all years.

Click the × button on the right side of any row to remove a category. You cannot remove the last remaining category.

💾 Saving Scenarios

Scenarios let you save a snapshot of all current data — categories, amounts, enrollment, inflation, and overrides — under a name you choose.

• Click 💾 Save Scenario in the header bar
• Enter a descriptive name (e.g., "Conservative Estimate" or "Board Meeting 3/15")
• Choose whether to make it Private (only you can see it) or Shared (all Hillside users can see and load it)

📂 Loading & Previewing Scenarios

Click 📂 My Scenarios to see all your private scenarios plus any shared ones saved by other users.

• Preview — Loads the scenario in read-only mode. An amber banner appears at the top showing which scenario you're viewing. Nothing is editable in this mode.
• 🚀 Push Live — From preview mode, this replaces the shared live data with the scenario's data. All users will see the change immediately. A confirmation dialog prevents accidental pushes.
• ✕ Exit Preview — Returns to the live shared data without making any changes.
• Delete — Removes a scenario you created. You can only delete your own scenarios.

↺ Reset to Defaults

The ↺ Reset button in the header restores all shared data to the original seed values from the 24-25 and 25-26 school year expense reports. This affects all users and cannot be undone — save a scenario first if you want to preserve your work.

📋 Summary Panel

The dark green Combined Fee Summary at the bottom rolls up both sections and shows:

• Classroom Supplies and Student Activities totals
• Grand total across both sections
• Enrollment for each year
• Per-student breakdowns (Supplies, Activities, and Total Fee)

The 💰 Fee Per Student row is the key output — this is the amount to assess per student for the activity fee.

👥 Multi-User Collaboration

The app uses real-time sync. Multiple users can be logged in simultaneously and will see each other's changes within seconds. Some tips:

• If two people edit the same field at the same time, the last save wins
• Use scenarios to save your work-in-progress before others make changes
• The "Saving..." and "Saved" indicator in the bottom-right confirms your changes are stored

🔑 Access & Sign In

Access is restricted to @hillsideschool.org email addresses. You can sign in two ways:

• Google Sign-In — Use your Hillside Google Workspace account (recommended)
• Email & Password — Create a separate account with your Hillside email. Password must be at least 6 characters.

❓ Common Questions

Why don't projected values change when I edit them?
Projected values auto-calculate from the current year's data. Edit the current year column to change projections. If you need a specific projected amount, click the projected cell to override it manually.

How do I project further into the future?
Click Later → to move the window forward. The projected column becomes the current column. Edit those values as needed, then the next projected year calculates from them.

Can I undo a change?
There's no undo button, but you can use ↺ Reset to return to defaults, or load a previously saved scenario.

Who can see my scenarios?
Private scenarios are only visible to you. Shared scenarios can be seen and loaded by any logged-in Hillside user.
